Role Overview

Administrators are an integral part of the companies Home Visit business ensuring efficient administration and scheduling that puts our customers first and foremost. This is a multi-skilled role working closely with our field teams and Directors as a key part of the team.

Key Duties

• Manage the diary of clinics, allocating sub-territories and resource

• Manage cancellations and where appropriate rescheduling appointments

• Plan routes and confirm appointments 72 hours ahead of time

• Review orders and create fitting schedules ensuring appropriate notifications

• Ordering and maintaining stock as required (e.g. accessories, marketing material etc.)

• Dealing with telephone queries and responding to online or email queries within agreed

SLAs

• Mange the eGOS notification process

• Reconciliation of daily sales figures and NHS funding

• Support with local marketing and outreach activity

• Send marketing and promotional material to potential customers and following up as required

• Manage some financial processes including expenses and banking as required

• Support the Directors with ad-hoc tasks as required

• Be an ambassador for our Home Visits Brand at all times and ensure our Brand reputation is maintained at all times

About you

Essential skills and experience

• Excellent administration and organisational skills

• Systems literate, able to use different IT systems effectively including Office 365

• Excellent customer service approach, able to provide support and reassurance to customers and their families/carers

Desirable skills and experience

• Previous experience of working within an Optical environment

• Previous use of Goldvision and/or Acuitas

• Local marketing and/or social media experience
